Why is Software so important?

It’s fundamentally about efficiency – mostly time but sometimes direct cost-savings (pre-printed stationary)

But the gains in efficiency will be highly dependent on how well the software fits your business, integrates with your other software systems, and enhances the way you work.

Why Bespoke?

A bespoke system will provide the best software solution

Almost by definition, a bespoke system will provide the best software solution (technically) for your company - and one that you control.

Even so, a package is likely to be the most appropriate in many cases. For example:-

  • When the requirements are so common and standard that a general solution will suffice. Sage accounts is a good example, for the Nominal Ledger and Cash accounting elements.
  • Where the purchaser simply does not have the time or inclination to do the work required for the detailed Specification for a Bespoke System (in the form of about three quite intensive meetings), and for the testing at the end of the process.

At other times, a package is not likely to be the most appropriate, but it is chosen over a Bespoke System because:-

  • the purchaser perceives the Bespoke System as a more expensive option. It can be, but more often the price is about the same
  • the purchaser perceives the Bespoke System as riskier. Again it can be, but that depends on the software developer. Investigate references and look at the track record. There are risks in buying a package in any event. Unlike bespoke, you may not be able to adapt it at a future date.

There are many good reasons why a (good) Bespoke Systems is much better than an off-the-shelf package solution. Here are a few:-

More User Friendly

If it is well-designed and well-written, you will have a system that fits your business processes precisely. This translates into simplicity, user-friendliness and efficiency. For example, a timesheet system would be designed to record time in the way that you require.

It is easier to operate a system that has been specifically designed to meet your own requirements.

Package vendors sooner or later tend to increase the number of features available in order to meet the demands of a varied customer base. The proliferation of options means that, for many users, the system becomes more complicated to use for little if any extra benefit.

Greater Simplicity and Greater Performance

More Flexible

It also provides you with long-term  flexibility, and the ability to potentially integrate seamlessly with other systems.

The system can be amended and enhanced to meet changing requirements. The system can evolve with your business.

Less Expensive

In many areas (but not all) the cost of a bespoke system can compare favourably with off-the-shelf packages. You do not, for example, pay more for extra users, and little training if any is required.

You don’t pay for:-

technology
  • functionality that you don’t need, or for
  • multi-user licenses; and the inherent flexibility means that you do not have to abandon the system in 3 years time because of major changes in business requirements.
  • Unnecessary staff training, because the bespoke system will fit the way you already work, and use the same language
  • Unnecessary installation and implementation costs.
  • A sales force! One of the main costs for off-the-shelf package solutions is sales and marketing

Depending on the circumstances, the initial costs of a bespoke system may therefore be comparable with an off-the-shelf package, or even cheaper.

Integration

You are much more likely to be able to seamlessly integrate a bespoke system with other systems in your company, as you have control over what functionality is provided.

Support

Because you would become part of a relatively small client list, rather than part of a huge customer list for a package, you can expect a highly personal and responsive level of support.
